A successful import relies above all on a complete set of documents. Without it, goods can't clear customs smoothly. Here are the main documents to gather.
The commercial invoice, the centerpiece of the file
The commercial invoice is the key reference document for any import. It details the nature of the goods, along with their unit and total value. It also states the sales terms agreed with the supplier, including the Incoterm applied, since customs authorities use this document as the basis for calculating import duties and taxes.
The packing list, for identifying each package
The packing list complements the invoice by specifying the detailed contents of each package, along with weight and volume. This allows customs and carriers to quickly check that what's declared matches what's physically shipped.
The certificate of origin, a tariff advantage
The certificate of origin confirms the product's country of manufacture. Beyond its declarative role, it can also unlock preferential customs tariffs, as trade agreements sometimes exist between the European Union and the country of origin in question.
The transport document, proof of shipment
Depending on the mode chosen, this document takes the form of a Bill of Lading (sea freight) or an Air Waybill (air freight). It serves both as proof of shipment and as title to the goods, and is also required to collect the cargo upon arrival.
Product-specific certificates
Certain products also require additional documents: a CE certificate of conformity, an EU declaration of conformity, or health certificates. These are required because certain goods fall under specific regulations.
Avoiding customs holds
Ultimately, an incomplete file remains one of the main causes of customs holds. Contradictory documents pose the same risk. Checking the consistency of the full file before shipment is therefore essential, as a preliminary review helps avoid costly delays.
